Keycafe

I really like Keycafe for its simplicity and speed. It’s super helpful in tracking who has which keys, when the keys were checked out, and when they were returned. It also lets me know who the last driver was, which is extremely convenient. The initial setup was very easy too. Dislike: The only issue we’ve had is if the internet goes down and/or servers go down, it puts you in a bind. The servers are more of an issue going down because offline codes won’t work. That’s only happened one time and was solved in 2 hours.

The Keycafe system is simple to set up and use. After adding a key, you can assign permanent users or create temporary bookings for that key. The system also records who takes the key and the exact times it is picked up and returned. This has made handling last-minute driver changes much easier, as keys can be quickly reassigned through either the website or the app. Dislike: My only dislike is that it would be nice if there were a back button, because if I accidentally select key drop off instead of pickup, it takes about a minute to reset everything.

The best part is the convenience! I can manage everything right from my phone without needing to drive to the shop to open lockers or doors for the team. Such a time-saver! Absolutely no complaints! The program and customer service are outstanding — by far one of the best professional experiences I’ve ever had.

Additionally, the initial setup of Keycafe was very easy, which enabled a smooth transition and quick integration into my daily activities. I find the tracking system particularly useful as it provides detailed insights into who was the last person to have a key, which is essential for effective management and accountability.

The system is incredibly intuitive and enforces accountability by design. With nearly 150 keys in our facility, the ability to see exactly who has which key and when it was checked out has eliminated guesswork and drastically reduced lost or misplaced keys. Dislike: The initial setup took some coordination to enter all key data and assign permissions, but once configured, it’s been smooth sailing.
